Problem Tech Solves

Tech Brief

Surgeries are critical to the financial health of hospitals and health systems because they often account for a significant portion of revenues and a majority of margins, enabling hospitals to provide other services that are not financially viable on their own. However, surgical growth is constrained by manual processes and tools: faxed orders, whiteboards, and hours spent on the phone with schedulers and patients. By using the EHR alone to address these challenges, health systems rely on their people to manually create access and find cases, resulting in an incredible opportunity cost. A mismatch between surgeons and procedures who need OR time and the blocks of time available often causes unnecessary waits for patients and empty spots in the schedule. Additionally, it is difficult for hospitals to grow strategic surgical cases. When time opens up, often at the last minute, they rely on OR schedulers to blindly make calls to fill open time. Meanwhile, surgeons and ORs have significant untapped referral bases, as a result of poor visibility into referral patterns. Because so many hospitals rely on people to manually create access and find cases, the result is a steep human and financial opportunity cost. Analytics solutions provide visibility into the OR calendar and performance. This was helpful five years ago, but times have changed. Health systems want to go beyond manual analytics and need an end-to-end approach to automatically fill white space on the OR schedule with strategic cases and grow market share — and that’s exactly what we do.

Tech Differentiators

Other solutions use analytics and a graphical calendar interface to match supply and demand. They provide visibility into basic scheduling opportunities and performance metrics. It’s a manual system that relies on surgeons and schedulers to find time, fill calendars, and transfer information into the EHR. Our superpower is that we not only provide core capabilities for matching supply and demand — performance analytics, optimization algorithms, and an intuitive interface — but go well beyond. Supplementing EHR data with market data, Qventus applies automation, behavioral science, and machine learning (ML) to optimize OR access, grow strategic cases, and capture market share — while reducing the burden on OR teams. Unlike using the EHR or analytics, Qventus allows hospitals to extend scheduling lead times with less noise, using ML that learns block owner scheduling patterns to predict specific unused time and drives targeted nudges to release time. We also customize ML to help automate filling white space with strategic cases. What’s more, all surgeons can view and request OR time without logging in to an EHR. And whereas other solutions are limited to EHR data, Qventus uses exclusive market data to provide insights into referral and leakage patterns to grow clients’ market share. No one else does this, and it's creating huge value. We help health systems generate tens of millions of dollars in additional revenue, help perioperative teams and surgeons work more efficiently — which decreases the burden of staffing shortages — and, most importantly, help patients gain earlier access to potentially life-saving care.

Validation

Qventus’ Perioperative Solution delivers a significant impact for its health system partners, enabling them to achieve more than a 10x return on investment. This comprehensive ROI includes: •2+ incremental surgical cases per operating room per month •More than a week increase in block release lead time, and greater than 50% utilization of released operating room blocks that otherwise would likely have been unused •Nearly 50% more robotic cases, and 11% decrease of non-robotic cases in OR rooms with robots For example, Saint Luke’s, a 16-hospital system in Kansas City, sought to increase OR access, strengthen margins, improve surgeon and staff satisfaction, and optimize surgical staffing. After using Qventus’ Perioperative Solution for a year, Saint Luke’s flagship hospital with 11 ORs was able to unlock 562 hours of OR time in advance, add 920 new cases, create 14 additional days of lead time for released OR blocks, and add 7% more surgical cases with 20% less staff (due to staffing shortages). Qventus’ Perioperative Solution delivered similar results for M Health Fairview, a Minnesota-based health system that sought to improve access to OR time, optimize and reduce staff workload, increase revenue, give surgeons and staff better control over their schedules, and boost efficiency. As a result of the more streamlined scheduling process, schedulers experienced 21% fewer phone calls per month, enabling them to focus on more valuable activities.
